How Systems Make You Money

We’re talking with Rebecca Jones about how systems can make you money in your business.

There's lots of ways to make money and one way that you may not think of is your operational system and systems.

Typically what people are talking about are like a CRM system or a project management system. When I talk about systems today,. I'm talking about the process and steps you go through in accomplishing a goal, like in your sales system, your marketing system, things like that.

A lot of people are like, well, I don't have systems in my business. And actually you do, because if you may not think about it, but if you have something that you do consistently, like you're performing the same steps in a row, whether they're efficient or not, or effective, you know, you're doing the same thing.

That's your system. And a lot of it usually is living in someone's head. Especially people who are newer in their business or a solo preneur. A lot of your systems run in your head because you're the only one running your business. So, you know, why do you need to document it? And why do you need to tell somebody else about it?

I’ll come in and say “Let's take a look at your processes. How can you be more efficient? How can you be more effective?” And so that's my goal when I work with wedding professionals is helping them streamline their systems and making sure that they're working as efficiently as possible.

So when you're doing that, are you, you're kind of auditing how they handle the things in their business, like on a daily basis?

Is that how it kind of starts?

Yeah. And typically it starts with them telling me about their sales process and I focus a lot on delivery of products or services. After they've got a client and they sign their contract and say yes, I'm going to work with you. It's kind of, from that point through to off-boarding that let's look at how you can be in the most efficient in delivering your services, creating a great client experience and getting those great reviews and testimonials so that you can bring in more business based off of that.

Why do you need a system? It saves you time because like I said, if you're doing the same thing over and over again, you're not trying to figure out what worked last time? What did I do last time? What do I need to do this time?

It offers a consistent client experience across the board for all the people that you work with.

It equates to efficiency. You've got a process in place and you're working efficiently.

I don't know anyone that's in business and says like, I want to provide the worst customer experience ever, because we all know that, when we provide a great customer experience, people are going to talk about it. You know how much easier it is to get business from people telling their friends, you know, Michelle was so great to work with.

I loved working with her. You should go check her out versus no one talking about you and then you having to put forth that energy to market and sell yourself, sell yourself. So, you know, customer experience. Generates positive reviews, you know, but it also does a lot more for your business.

It increases client retention. There's consistency that comes back from other clients because they had a great experience with you.

It builds brand loyalty. It builds your reputability because people are just saying how great and attentive you are, how caring you are. It's going to get around and people will talk about it. And then that builds your reputation and what your brand is known for, and hopefully what you want to be known for.

And then it gives you that competitive edge, because if people are talking about you and you have that brand image, Building from your customer experience and reviews and things like that. Then how much does that give you an edge over your competitor? Who maybe doesn't have as many reviews or doesn't have people talking about them as much and a great way to find out, you know, what's so great about your customer experience.

That's how systems can support you and make you more money by offering that consistent client experience, setting up an offboarding system, it can be a simple offboarding system, no offboarding system has to be complex.

Can you explain to us what you do as an operations manager?

Yeah. So my job as an operations manager is to come in and look at the operations and into your systems. How are you running things? Do you use systems for your business? Do you use a project management system? Do you use a client relationship management system, your CRM? Because I do believe that a lot of Tech can support your business.

My love language is project management systems.

So Trello, Asana, Click Up. I love those platforms. They do so much for you. Most of them have some sort of free platform that works just fine. The nice thing about these project management systems is that they can be a good hack for your lead management system as well.

These project management systems, whichever you choose to use, I set them up so that you have a high level view of where you are in your client process delivery system for your whole business.

One last thing, remember our systems are always changing. They're always evolving. You know, it's never set in stone. You may do it one way for a while. Then evolve and change it to another way because you found something better.

And so it's not something that you have to do A, B, and C this way forever, you can change it and evolve it as you grow your business as well.
